Privacy Policy

This Privacy Policy explains how Churchmind LLC (“ChurchMind,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you visit our website, request a free trial, use our ChurchMind Giving report tool, or use our sales-intelligence platform (the “Service”). It also explains the rights you have and how to exercise them.

1. Information we collect

• Information you provide. When you request a trial, purchase a subscription, or contact us, we collect your name, business email, company, job title, and phone number, and any acceptance of our terms.
• ChurchMind Giving report requests. When you request a free giving report at churchmind.io/giving, we collect what you enter: your church’s name, your name and role, your church email address, your church website, your ZIP code, your approximate annual-giving range, the software you use today, and the priorities you select. We use this to build and store a private report for you and, with your consent, to introduce you to software vendors (see “How we share information”).
• Account & usage data. If you use the Service, we collect authentication details and records of how you interact with the product.
• Business & church data (the ChurchMind Data). We compile business-contact and organizational information about churches and related organizations to power our sales-intelligence features. This is professional, business-level information; we take steps to limit our database to business information and to exclude purely personal or private details. See “Where the ChurchMind Data comes from” below.
• Automatically collected data. We use cookies and similar technologies to collect device, log, and usage information.

2. Where the ChurchMind Data comes from

The ChurchMind Data is compiled from publicly available sources — including church and organization websites, denominational and public directories, and public records on the open internet — and may be supplemented by licensed third-party data providers. We collect and process this business-contact information on the basis of our legitimate interests, and those of our customers, in facilitating business-to-business sales, marketing, and business-development activities, having weighed those interests against the rights and interests of the individuals concerned. We do not compile this data to make, and it may not be used for, decisions governed by the Fair Credit Reporting Act (such as credit, insurance, employment, or housing eligibility).

3. How we use information

• Provide, operate, secure, and improve the Service.
• Respond to trial requests, sales inquiries, and support requests.
• Deliver ChurchMind Giving reports and, with consent, make vendor introductions.
• Send service-related communications and, where permitted, marketing communications.
• Comply with legal obligations and enforce our agreements.

4. How we share information

Service providers (sub-processors). We share information with vendors who process it on our behalf and only under our instructions, not for their own purposes. These currently include:

• Clerk — authentication and account management.
• Stripe — billing, invoicing, and payment processing.
• Resend — transactional and marketing email delivery.
• Neon — database hosting.
• Vercel — application hosting and delivery.

Software vendors, through ChurchMind Giving. If you request a report through ChurchMind Giving and give the consent shown on the form, we share the details and responses you submit with independent third-party church-software vendors whose products fit your stated criteria. These vendors are not acting on our behalf or under our control — they receive your information as independent businesses and use it for their own purposes, including contacting you. Vendors pay us for these introductions. Payment never affects how our tool ranks or describes platforms; it decides only which vendors receive a lead. Once a vendor has your information, its communications and use of that information are governed by the vendor’s own privacy practices, not this policy.

How this is treated under privacy laws. Under some U.S. state privacy laws (such as California’s), sharing your contact information with these vendors in exchange for payment may be considered a “sale” or “sharing” of personal information. You can opt out at any time — see “Your choices and rights.”

We also disclose information when required by law, to protect our rights, or in connection with a merger, acquisition, or other business transfer.

5. Email communications & your opt-out (CAN-SPAM)

We send both service (transactional) emails — such as report deliveries, invoices, and account notices — and, where permitted, marketing emails. Our commercial emails identify us, include our physical mailing address, and include a clear way to opt out. You can unsubscribe at any time using the link or reply instruction in any marketing message; we will stop sending marketing email within 10 business days. You may continue to receive service emails necessary to your account or transactions.

6. Your choices and rights

Marketing opt-out. You may opt out of marketing at any time via the unsubscribe link in any message or by contacting us. You may opt out of some or all marketing.

ChurchMind Giving lead sharing. If you requested a report through ChurchMind Giving, you can withdraw your consent to vendor introductions and opt out of having your details shared with additional vendors at any time — by replying to any email from us or by contacting us at privacy@churchmind.io. You can also tell any vendor directly to stop contacting you. We cannot retrieve information a vendor already received before you opted out; contact that vendor about the copy it holds.

Business-contact removal (the ChurchMind Data). If your organization or your business-contact information appears in the ChurchMind Data and you want it removed, use our self-service removal form — no account required, and it takes effect immediately. You can also email privacy@churchmind.io. Either way we add your information to a suppression list that every export and outreach pipeline honors.

What removal covers. Removal takes you out of ChurchMind outreach and out of named records in our exports and customer dashboards. Anonymous aggregate statistics (for example, “N churches in this county use a given platform”) contain no organizational identity and are unaffected — so honoring your request never depends on keeping you in a report.

U.S. state privacy rights (including California / CCPA-CPRA). Depending on your state, you may have the right to know, access, correct, and delete the personal information we hold about you, to opt out of the “sale” or “sharing” of your personal information, and to be free from discrimination for exercising these rights. To exercise the “Do Not Sell or Share My Personal Information” right, email privacy@churchmind.io. Where required, we honor Global Privacy Control (GPC) browser signals. We will respond within the timeframe the law requires (generally 45 days, extendable where permitted).

EEA/UK rights (GDPR-style). If you are in the EEA or UK, you may have rights of access, rectification, erasure, restriction, portability, and objection to processing based on legitimate interests, including an absolute right to object to direct marketing. Email privacy@churchmind.io to exercise these rights; withdrawing consent is as easy as giving it.

7. Data retention

We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes — for example, account and billing records for the life of the relationship and as required by tax and accounting law, ChurchMind Giving lead records for as long as needed to fulfill and follow up on the request, and ChurchMind Data for as long as it remains useful for our business purposes or until a valid removal request. After that, we delete or de-identify it.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Children’s data

The Service is a business tool intended for organizations and adults (18+). It is not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
